// Realm-X setup for AppFolio offices
AppFolio gave your office a builder. Nick sets it up the way your office runs.
At the end of September AppFolio released a new Realm-X: describe a workflow and it builds it, and it can work from your office’s own policies. Getting it to do what your office does, the same way every time, takes time most small offices don’t have. Nick sets it up with you, tests it, and hands it to your team.

What a setup includes
Your policies, written down and loaded in
Office hours, what counts as an emergency, screening and pet criteria, your late fee policy as your leases word it, vendor order and owner approval limits. Realm-X works from what it is given, so this comes first.
Three workflows, built and tested
Chosen with you from the list below. Each one runs on real cases with someone from your office watching before it goes live.
One dashboard
Built from the numbers you actually ask about on Monday.
Saved prompts for your team
The requests your team types every week, saved so anyone can run them the same way.
A one-page sheet and a walkthrough
What runs, when, and why, written for your office, plus 45 minutes with your team.
30 days of fixes
After handover, anything that does not behave gets fixed.
Workflows to start from
Which ones fit depends on your plan and on what AppFolio already runs for you. The free check sorts that out before anything is built.
Leasing follow-up
Leads that went quiet after a showing or an application get a follow-up, and your leasing agent gets a nudge. If AppFolio’s Leasing Performer is already on, the setup works around it.
Maintenance rules
Your emergency definition and your vendor order, applied the same way every time.
Renewals
Leases ending in 90, 60 and 30 days surface with a task and a draft offer for a manager to approve.
Move-out and turn
Dated steps from notice to make-ready, with the deposit deadline tracked.
Owner monthly summary
A report per owner that your manager reviews before it goes out.
Late rent
Internal reminders and task lists for your team. No automated notices to tenants.
How it works
- 1
A free 30-minute check
Which AppFolio plan you are on, what is already switched on, and where your week goes. You get a one-page write-up with three things worth building.
- 2
Two weeks of setup
About an hour with whoever knows your policies, and one person to test each workflow with Nick.
- 3
Handover
It runs in your AppFolio, on your logins. If you stop working with Nick, it keeps running. You are not renting anything.
What Nick needs from you
- An AppFolio user login for Nick, created by your admin with only the access the setup needs. You can remove it any time.
- Your written policies, or an hour with the person who knows them.
- One person to test each workflow before it goes live.
Questions
- Is this AppFolio?
- No. LeaseLoom is not affiliated with, endorsed by or sponsored by AppFolio, Inc. Realm-X is AppFolio’s product. The setup happens inside your own AppFolio account.
- Which AppFolio plan do I need?
- It depends on what you want built. AppFolio says the new Realm-X is on every plan, and its pricing page lists some features from Plus up. The free check tells you what your plan can do before you spend anything.
- What does it cost?
- Nick quotes after the free check, once it is clear what is worth building on your plan.
- Does the LeaseLoom software log in to my AppFolio?
- No. The LeaseLoom software has no AppFolio login and changes nothing there. A setup is different: it is Nick working inside your account with a login your admin creates, and you can remove that login whenever you want.
- Do you text tenants or send late notices?
- No texting, and no automated notices to tenants about money.
- Where are you?
- San Antonio. The first setups are in person, in San Antonio, this fall.
