AppFolio’s AI and LeaseLoom: what each one does
AppFolio’s AI answers the first message. LeaseLoom does the follow-through that comes after. Here is the plain comparison, checked on October 4, 2026, with links to AppFolio’s own pages.
The short answer
- AppFolio’s September 29, 2026 release puts its Realm-X assistant on all of its plans. Its AI for leads, resident messages, repair requests and phone calls is sold mostly as add-ons, with no public price.
- LeaseLoom works from the reports you export from AppFolio. It sends past-due rent reminders, renewal offers and owner reports, and on Growth work orders to your vendors.
- Many firms will want both. If AppFolio’s AI answers your leads or residents, tell LeaseLoom and it steps back from those.

LeaseLoomTenants chat from the link in its emails, and anything it should not answer goes to a person. Steps back if AppFolio’s AI answers your residents.
Repair requests
AppFolio’s AIThe Maintenance Performer, sold as an add-on, triages requests and routes them to vendors.Source: AppFolio’s pricing page
LeaseLoomOn GrowthReads the request, picks the trade and emails the vendor you use for it, from your vendor directory. It does this without AppFolio’s Maintenance add-on.

Past-due rent

LeaseLoomA reminder in your firm’s name at 7 days past due and a second at 14 (later if your grace period is longer), then the balance goes to your team at 21. It never sends a notice to vacate.
Owner reports

Price

LeaseLoom$149 or $299 a month, flat, printed on the pricing page.
AppFolio’s own emails and automations, apart from its AI, may already send some reminders for you. Check what yours sends, and LeaseLoom fills in what is left.
Where AppFolio’s AI is the better choice
- You want phone calls answered. LeaseLoom only emails.
- You want the AI to work inside AppFolio and enter records there for you.
- You want one vendor and one bill.
Where LeaseLoom fits
- Leases end without a renewal offer going out in time.
- Late rent gets one reminder, if someone has time, and no second one.
- Owner reports take the first week of every month.
- You run AppFolio Core, where Realm-X Flows are not included, and want this follow-up on a schedule.
Running both
In LeaseLoom’s Settings, under Automated sending, tick what AppFolio’s AI already handles: leads, maintenance, resident chat, phones or Flows. If it answers your leads or residents, LeaseLoom stops answering them and passes each one to your team, so nobody hears from two assistants. Renewal offers, past-due reminders and owner reports keep running.

Questions about running both
- Is LeaseLoom an AppFolio integration?
- No. LeaseLoom is an independent product and is not affiliated with, endorsed by or sponsored by AppFolio, Inc. It has no connection to your AppFolio account. It reads the report files you choose to upload.
- Do I need a higher AppFolio plan to use LeaseLoom?
- LeaseLoom does not use AppFolio’s API, only the standard reports AppFolio lets you export as CSV files. It is built from AppFolio’s standard report formats, and the first offices’ own exports are being checked now, so bring yours to a 20-minute look and watch it import.
- Will my tenants hear from two assistants?
- Not if you tell LeaseLoom which AppFolio AI you run, in Settings, Automated sending. If AppFolio’s AI answers your leads or resident messages, LeaseLoom stops answering them and passes each one to your team. Its maintenance playbooks stay off unless you turn one on, and it never answers phones. Renewal offers, past-due reminders and owner reports keep running.
- Does LeaseLoom put anything into AppFolio?
- No. It has no login and no connection, so it cannot change anything there. Your team still enters the work order for a repair it routes, the guest card and application for a showing, and the lease paperwork for an accepted renewal.
