// For AppFolio users
AppFolio’s AI answers the first message. LeaseLoom does the follow-through.
The renewal offer 90 days out. The second past-due reminder. Each owner’s report on the 1st. LeaseLoom does them from the reports you already export from AppFolio, in your firm’s name, and nothing goes out until you switch it on.
Bring one rent roll export to the call and watch it import. Or take the full tour on a sample portfolio first, and see pricing.
What is left after AppFolio’s AI
AppFolio’s September 29, 2026 release puts its Realm-X assistant on all of its plans. Its AI for leads, resident messages, repair requests and phone calls is sold mostly as add-ons, with no public price. That covers the first reply. What comes after still lands on your team.
Renewal offers

LeaseLoomSends the offer 90 days before the lease ends at your increase, follows up at 14 days, and hands it to your team 7 days later.
Past-due rent

LeaseLoomEmails a reminder at 7 days past due and a second at 14, in your firm’s name, then hands the balance to your team at 21.
Owner reports

LeaseLoomWrites each owner’s monthly report with a plain summary and sends it on the 1st, or holds it for your review.
AppFolio’s own emails and automations may already send some reminders for you. Check what yours sends, and LeaseLoom fills in what is left. The full side-by-side comparison covers leads, residents, repairs and phones too.
What it does with your reports
Renewals that start on time
From the lease end dates in your rent roll, it offers a renewal 90 days out at the increase you set, follows up after 14 days, and hands it to a person 7 days after that. The tenant accepts or declines from a link, and your team sends the renewal lease from AppFolio as usual.
Past-due rent reminders
From your delinquency report, it emails the tenant at 7 days past due and again at 14, in your firm’s name, then flags the balance for your team at 21. Every reminder says it is not a notice to vacate, and it never sends one.
Owner reports in plain words
Each monthly report opens with a short summary written only from its own numbers, and goes to the owner on the 1st.
Work orders to your own vendorsOn Growth
A tenant’s request is read, given a trade, and emailed to the vendor you use for that trade, from your vendor directory. It does this without AppFolio’s Maintenance add-on.
The rent roll sets you up
Upload it and your properties, units, tenants and leases are in. Upload next week’s and it updates what changed, ends the leases that are gone, and adds no duplicates.
Leads and tenant questions, if you want them
If AppFolio’s AI is not answering your leads or residents, LeaseLoom can: an answer within minutes with the unit’s rent and size and your showing times, and tenant answers from their lease and balance. If it is, tell LeaseLoom and it switches these off.
What stays in AppFolio
- Your books, leases and ledgers. LeaseLoom has no login and no connection to AppFolio, so it cannot change a lease, post a charge or move money there.
- LeaseLoom does not put anything into AppFolio, so your team still enters the work order for a repair it routes, the guest card and application for a showing or applicant, and the lease paperwork for an accepted renewal.
- Your AppFolio AI. Whatever you already run keeps running. Tell LeaseLoom which parts you use, and it switches its own version of those off.
What it reads, what it sends, and what it never touches
You are letting software write to your tenants and owners. The fair question is how far it reaches.
What it reads
Only the reports you upload: rent roll, tenant directory, delinquency, owner directory, vendor directory and work orders. You choose which ones, and when.
What it sends
Emails to your tenants, prospects, owners and vendors, in your firm’s name. Renewal offers, past-due reminders and owner reports each start switched off, and with review on they wait in your Outbox for approval.
What it never touches
Your AppFolio account. LeaseLoom has no login and no connection to it, so it cannot change a lease, post a charge or move money there.
The Outbox lists every email LeaseLoom sends for your firm, with who it went to and when, so you can check its work rather than trust it.
Questions AppFolio users ask
- Do I have to leave AppFolio to use LeaseLoom?
- No. Keep running AppFolio the way you do now. LeaseLoom works from the reports you export from it, so nothing in AppFolio changes and your team keeps working there.
- Is it cheaper than turning on more of AppFolio’s AI?
- It does different jobs. AppFolio’s AI add-ons answer leads, resident messages, repair requests and calls, and AppFolio publishes no price for them. LeaseLoom sends renewal offers, past-due reminders and owner reports, which are not among the AI jobs AppFolio lists, at a price printed on the pricing page. Many firms will want the first reply from AppFolio and the follow-through from LeaseLoom.
- Is LeaseLoom an official AppFolio integration?
- No. LeaseLoom is an independent product and is not affiliated with, endorsed by or sponsored by AppFolio, Inc. It does not connect to your AppFolio account at all. It reads the report files you choose to upload.
- Which reports does it use?
- Six: the rent roll, tenant directory, delinquency, owner directory, vendor directory and work orders. Start with the rent roll, which brings in your properties, units, tenants and leases. Each one is exported from AppFolio as a CSV file.
- Which AppFolio plan do I need?
- LeaseLoom reads the standard reports AppFolio lets you export as CSV files, so it needs no AppFolio login or API. It is built from AppFolio’s standard report formats, and the first offices’ own exports are being checked now: bring yours to the 20-minute look and watch it import.
- Does it write anything back into AppFolio?
- No. It has no access to your AppFolio account. What it does, like a sent reminder, a booked showing or an accepted renewal, is kept in LeaseLoom, where your team can see it. Accepted renewals are kept until 5 years after the lease that was renewed ends, even if you cancel, so the acceptance can still be shown.
- How do my leads get to LeaseLoom?
- Forward your Zillow and other listing-site lead emails to your LeaseLoom lead address, found in Settings under Lead inbox. Each one becomes a lead and gets a first answer within minutes.
- What if AppFolio’s AI is already on?
- Tell LeaseLoom which parts it handles (leads, maintenance, resident chat, phones) in Settings, Automated sending, and LeaseLoom switches its own version off, so nobody hears from two assistants. Renewals, late-rent follow-through and owner updates run either way.
- How do tenants and prospects hear from it?
- By email, in your firm’s name. Tenants can also chat with it from the link in their emails, and prospects from the inquiry link you share. It does not send text messages.
- How do I keep it up to date?
- Upload the same report again. Rows that changed are updated, leases that are no longer on the rent roll are ended, and nothing is duplicated.
- How do I turn it off?
- Switch each kind of email off in Settings, under Automated sending. Nothing in AppFolio needs undoing, because LeaseLoom never changed anything there.
- Can I try it first?
- Not on your own yet. The first five offices are founding firms, set up by Nick on their own rent roll. Book a 20-minute look, bring one rent roll export, and ask about founding-firm pricing. Or join the waitlist and we will email you when it opens.
See it on your own rent roll
Twenty minutes with Nick. Bring one rent roll export from AppFolio and watch it import: your properties, units, tenants and leases, and which leases end in the next 90 days. Nothing is sent.
